Position Title Receptionist
Department Customer Care
Immediate Supervisor Hospital Operations Manager/ Hospital Director
ROLE SUMMARY
The Receptionist will provide administrative support in various departments to ensure that support services are provided effectively and efficiently. They will also manage and continually improve the customer service experience for all stakeholders and clients.
ROLES & RESPONSIBILITIES
Information Management
1. Ensure compliance to email and telephone communication, coordinating information dissemination to recipient departments
2. Ensure compliance to restricted access to the filing area.
3. Ensure compliance to electronically supported patient information and data flow (queue management).
4. Ensure adherence to complete patient data captioning.
Service Delivery
1. Ensure implementation and adherence of set hospital processes.
2. Lead the team in timely delivery of services /customer turnaround time in the front office.
3. Handle escalated customer concerns in a timely manner, utilizing set feedback mechanism Processes.
Financing
1. Ensure compliance to complete insurance Preauthorization Management.
2. Supervise management of Service Limits and Exclusions.
3. Ensure compliance to implemented projects.
4. Ensure compliance to the billing processes.
5. Ensure timely sharing of online and offline claims reported by the team to the credit department.
Leadership and Governance
1. Lead and guide the team in implementation of departmental projects.
2. Timely sharing of project progress reports with staff.
3. Conduct timely staff performance reviews and appraisals.
4. Lead Work Improvement team meetings.
Health Workforce
1. Facilitate staff training for the Customer Care department.
2. Organize Continuous Medical Education sessions for staff in the department.
3. Delegate and appoint tasks and responsibilities to staff.
Supplies and Technology
1. Supervise inventory management in the department.
DESIRED QUALIFICATIONS & EXPERIENCE
Education:
● Diploma in Business Administration or other related qualifications from recognized institutions..
● Competent in computer packages.
Experience:
● Minimum of 2 years of relevant experience.
(Hospital setup is an added advantage)
● Certificate of Good Conduct.
KNOWLEDGE, SKILLS & ABILITIES
● Excellent organizational and time management skills with the ability to multitask.
● The ability to cope with pressure.
● Must have good leadership and communication skills.
● Must have a strong commitment to caring of and compassion towards patients and a general sense of customer service excellence.
● Good teamwork, analytical and problem-solving skills.
